PRIVACY AND DATA PROTECTION POLICY
By instructing Welcome Translation Experts LTD will mean that we will hold personal information about you both manually and on our computer systems. With this in mind we ask that you take time to carefully read our Privacy and Data Protection Policy (‘the Policy’) as it contains important information relating to how we use your personal data. We are an agency, providing translation, transcription and interpreting services. We instruct freelance contractors to carry out the above services.

Clients request an interpreter and we instruct appropriate contractor from our database to carry out the interpreting. Services include interpreting, translation and transcription.
What personal data do we hold?
For the purposes of this Policy, personal data refers to any personal information that is capable of identifying you and includes such information as but not limited to:
- – your name, address, telephone number, email address and date of birth
- – documents relating to educational diplomas, education transcriptions, personal text messages, personal audio/covert recordings, company documents, bank statements, commercial statements, medical leaflets.
- – any correspondence relating to your case generated by carrying out your instructions from third parties
- – information relating to the instructions you have given us and any advice we may have given in relation to the case
- – records of any meetings or conversations that may have taken place
- – information concerning location, language, their non speaking client’s name, their file reference and consultant attending the assignment.
Why do we hold information about our clients?
To enable us to ensure that all appropriate actions in any case are undertaken at the appropriate times, and without constant reference to you for such details, we need to retain accurate and comprehensive personal data about our clients.
Security – how secure is the information we hold?
We hold personal information about you both manually and on our computer system. Such information is only accessible by members of staff, freelance contractors and not by the public. We should however highlight the fact that the transmission of data via the internet is not completely secure. Whilst we endeavour to take reasonable steps to safeguard your personal information, we cannot guarantee the security of such personal data which is transferred via the internet.
Confidentiality – what do we do with the information/documentation?
We may need to disclose personal information about you in order to provide you with the best standard of representation and advice. We store the documents listed under ‘What personal data do we hold?’ in our local hard discs, for short time after completion of the assignment and then delete.
Disclosure of personal information will only take place on a ‘need-to-know’ basis and only to those parties who need to know in order to provide the resources to deal with your case.
What rights do you have?
You have the right to ask us not to process your personal data for marketing purposes. We will usually inform you (before collecting your data) if we intend to use your data for such purposes. You can exercise this right at any time by contacting us on 0207 0910 491 or email@example.com
Enhanced rights under the GDPR include the right for you to correct data about yourself which is wrong, the right to restrict certain processing and a right to be forgotten/erasure.
Should you wish to exercise this right you should put your request in writing marked for the attention of the Director of Welcome Translation Experts LTD. The Data Controller must respond within a month and the first copy of the information is free of charge thereafter an administration fee of £10 will be charged.
